Business Operations Support Specialist

At Uni Systems, we are working towards turning digital visions into reality. We are continuously growing and we are looking for a Business Operations Support Specialist to join our UniQue team.

What will you be doing in this role:

• Create and maintain a list of stakeholders - with their respective point of contact - in the Microsoft and ticketing tools (e.g. MS Powerpoint, MS Word, MS OneNote, MS Outlook, SharePoint, Jira, Confluence etc.).
• Assist in any meeting preparation by taking preparatory notes based on the discussion with personnel.
• Build a suitable agenda for the meetings, find suitable time to schedule the meeting with the stakeholders as well as a room and videoconference (VTC) setup, invite the stakeholders and manage the possible rearrangement of the meeting schedule.
• Organize and maintain business documents, and project-related materials within shared platforms (e.g., SharePoint, OneNote), ensuring easy access and compliance with internal procedures.
• Liaise with stakeholders to ensure timely follow-up on action items from meetings, track progress, and escalate any issues or delays as necessary.
• Assist in preparing reports for senior leadership, and ensuring data accuracy across various business tools and systems.

Requirements

What do you need to succeed in this position?

• Strong experience working in administrative, coordination or support position.
• Experience with notetaking, including the transcription of manual notes into IT software.
• Experience in summarizing discussions, identifying relevant points and action items.
• Strong reporting skills to various levels of seniority.
• Experience in working in the field of IT or Cyber Security.
• Experience delivering results and meeting customer expectations.
• Excellent level of verbal and written English.

Desirable:

• A university degree would be an advantage.
